HR Administration
• Maintain up-to-date department administrative / transactional process and process documentation.
• Support throughout employee lifecycle including: new hires, changes, secondments and leavers administration, organizational structure maintenance, employee assets management, accident management, supporting documents
• Prepares Certification letters, Letter of Guarantee (for hospitalisation/surgery)
• Administer Flexi benefits and insurance benefit programs e.g. Corporate and Business Travel insurances
• Support office administration for HR in areas of invoice payment, vendor creation/update of particulars, payment follow-up
Recruitment
• Prepare RRF for approval
• Job posting, sourcing, pre-screening, candidate tracking and management, interview and assessment center setup, pre-employment testing, background and reference check, referral program administration
• Prepare employment offer letter and contracts
• Facilitate on-boarding process, inform all relevant parties regarding new joiners / leavers (askhr, department co-ordinator, facility, IT, mail room) for follow-up.
• Prepare acceptance of resignation letter and exit clearance process.
Training & Development
• Coordinate timely uploads of headcount updates and follow-up on IT technical enquiries for MyTalentWorld (MTW)
• Follow-up on training calendar and overall training administrations from nominations to post-training feedback
Rewards & Remuneration
• Support the processing of all annual cycle documentation – such as salary and bonus letters.
• Scan and forward payroll instruction to Shared service unit for follow-up
Employee Engagement
• Coordinate data submission, cascade corporate information, manage user access, maintain employee data
• Support HR Employee Engagement initiatives
HR Metrics
• Analysis and reporting, for both internal and external reporting - E.g. Headcount (HR / Finance), Leave report, training
