Job Overview:
The Office Manager plays a critical role in supporting the daily operations of an interior design consultancy. This position ensures smooth administrative functions, coordinates project logistics, oversees office efficiency, and acts as a liaison between design teams, clients, and vendors.
Key Responsibilities:
Administrative & Office Management:
Manage day-to-day office operations including scheduling, filing, and correspondence.
Maintain office supplies, equipment, and vendor relationships.
Organize and maintain project documentation and contracts.
Handle incoming calls, emails, and client inquiries professionally.
Ensure the office environment is clean, organized, and conducive to productivity.
Project Coordination:
Support the design team in tracking project timelines and deliverables.
Coordinate meetings with clients, vendors, and contractors.
Assist in creating and maintaining project schedules and reports.
Manage procurement tracking, deliveries, and installation logistics.
Finance & Budgeting Support:
Process invoices, track payments, and manage petty cash.
Assist in budget preparation and expense reporting.
Liaise with accounting/bookkeeping for payroll and financial reporting.
Client Relations:
Provide excellent customer service and client communication.
Prepare proposals, presentations, and project updates as needed.
Schedule and follow up on client appointments and site visits.
Human Resources & Team Support:
Onboard new employees and interns.
Maintain HR records and assist with performance management tracking.
Organize team-building events and internal meetings.
Required Skills & Qualifications:
Proven experience as an Office Manager or similar administrative role.
Experience in the interior design, architecture, or creative industry preferred.
Strong organizational and time management skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Trello, or Monday.com).
Knowledge of design software (e.g., AutoCAD, SketchUp, Adobe Suite) is a plus.
Ability to multitask and work in a fast-paced, design-focused environment.
Education & Experience:
Bachelor's degree in Business Administration, Interior Design, or related field (preferred but not mandatory).
3+ years in an administrative or office management role.
Work Environment:
Hybrid or in-office setting, depending on company structure.
May require occasional travel for site visits or vendor meetings.
Collaborative and creative environment.
