Job Description

Administrative Support

• Organize and schedule appointments

• Plan meetings and take detailed minutes

• Write and distribute email, correspondence memos, letters, faxes and forms

• Develop and maintain a filing system

• Enter new client accounts, data entry

• Maintain contact lists

• Enter claims into the system and then filing the paper copy of the claim

• Submit and reconcile expense reports/ receipts

• Book travel arrangements

• Respond effectively to internal and external requests for information and competently prepares documents, policy information and files for additional handling by other associates or for distributing to outside contacts


Recruitment Support

• Use social and professional networking sites to identify and source candidates

• Maintain all pertinent applicant and interview data in the candidate tracking systems

• Schedules candidates for telephone or face-to face interviews

• Manage written and verbal communication with candidates and hiring managers throughout the recruiting process and serve as a resource for all recruitment process and client organization questions.

• Manage confidential pre-employment activities to include application and interview form completion, offers of employment, reference checks, new hire packets and ensures the information meets established employment requirements

• Develop a pool of qualified candidates in advance of need and maintain regular contact with possible future candidates


Key Qualifications:

Preferably final-year University Undergrad
• Excellent written and verbal communication skills
• Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
• Excellent time management skills and the ability to prioritize work
• Attention to detail and problem solving skills
• Strong organizational skills with the ability to multi-task
• Able to work independently and is a self-starter
• Resourceful
• Promotes good customer relations by positive, professional handling of all public contacts in the office, on the telephone, and through correspondence
