Job Description

Key Responsibilities

Issue of invoices

Issue of petty cash vouchers/petty cash

Filing of documents/invoices/purchase orders

Processing of orders

Ad hoc tasks assigned by the boss-purchasing air tickets, booking of dining facilities etc

other ad hoc tasks

 

An Administrative Assistant provides essential clerical and operational support to ensure office efficiency. 

Key responsibilities include managing schedules, handling correspondence (emails/phones), filing documents, organizing meetings, maintaining office supplies, and acting as a primary point of contact for staff and visitors. 

They require strong organizational, communication, and software skills. 

 

Key Roles and Responsibilities:

Calendar Management: Scheduling appointments, meetings, and conferences for staff.

Communication Hub: Answering and routing phone calls, greeting visitors, and managing emails.

Document Control: Preparing reports, drafting correspondence, filing, scanning, and updating databases.

Office Operations: Maintaining office supplies, equipment maintenance, and ensuring a tidy office environment.

Administrative Support: Assisting with travel arrangements, data entry, and sometimes basic bookkeeping. 

 

Required Skills and Qualifications:

Proficiency in Software: Strong skills in Microsoft Office Suite (Word, Excel), Adobe Acrobat PDF

Organization: Excellent time-management skills with the ability to prioritize tasks.

Communication: Strong verbal and written communication skills.

Experience: No Experience Required
