Arena Energy is seeking a highly organized and proactive Administrative Assistant to support day-to-day office and operational functions. This role is essential to keeping the office running efficiently and providing administrative support to leadership and team members. The ideal candidate is detail-oriented, professional, and comfortable handling multiple priorities in a fast-paced environment.
Key Responsibilities
Provide administrative support to management and operational staff
Answer and route phone calls, emails, and correspondence in a timely manner
Maintain organized electronic and physical filing systems
Schedule meetings, manage calendars, and coordinate logistics
Prepare documents, reports, and presentations as needed
Assist with data entry, invoicing, and basic accounting support
Order office supplies and manage inventory
Coordinate travel arrangements and expense reports when required
Maintain confidentiality of company and employee information
Perform general office duties and special projects as assigned
Qualifications & Experience
High school diploma or equivalent required; associate’s degree preferred
1–3 years of administrative or office support experience preferred
Strong organizational and multitasking skills
Excellent verbal and written communication abilities
Proficiency in Microsoft Office (Word, Excel, Outlook) and/or Google Workspace
Ability to work independently and collaboratively
Professional demeanor and strong attention to detail
Experience in energy, construction, or industrial environments is a plus
