Job Description

Key Responsibilities

1. Daily Event Coordination & Logistics Support

  • Assist the project team with day-to-day event coordination, ensuring smooth preparation and execution.
  • Handle packing, sorting, and labelling of event materials (e.g. décor items, collaterals, giveaways, equipment).
  • Support with logistics arrangements, including deliveries, pickups, and setup requirements.
  • Help maintain the event storeroom inventory, ensuring items are properly tracked, checked, and returned.
  • Coordinate with vendors and drivers for material movement, collection, and scheduling.
  • Prepare and organize event kits, name tags, props, and signage ahead of each project.

2. On-Site Event Assistance

  • Participate in setup and teardown of event venues, including décor placement, equipment layout, and materials display.
  • Assist the production team during rehearsals and live event operations, ensuring all materials and logistics are in place.
  • Support with registration, signage placement, backstage preparation, and manpower coordination on event day.
  • Ensure materials are properly packed and accounted for post-event.

3. Administrative & Coordination Tasks

  • Maintain and update event checklists, stock lists, and packing records.
  • Support the team in tracking delivery schedules and logistics documentation.
  • Assist in photographing and documenting setups for post-event reference.
  • Help with office organization and material preparation between projects.

4. Sourcing & Vendor Support

  • Research and compare vendors, suppliers, and rental providers for décor, materials, and logistics.
  • Obtain quotations or product information for internal review.
  • Keep track of new trends, props, and creative material options suitable for future events.
