Job Description

Job scope:

Recruitment & Selection:

  1. Coordinate the end-to-end recruitment process, including placing job advertisements, shortlisting applicants, and arranging interviews with Line Managers.
  2. Facilitate all necessary pre-employment and onboarding processes for new hires to ensure a smooth transition into the company.

General Administration:

  1. Manage and update daily lunch menus in SharePoint, consolidate and place lunch orders with the appointed vendors.
  2. Handle monthly vendor invoices by initiating purchase requisitions and performing goods receipt transactions in SAP.
  3. Compile and report monthly man-hours using data from the System Admin software.
  4. Serve as the main point of contact for staff and contractor pass issuance, including company staff passes and Jurong Island (JI) pass registration.

Documentation & Record Keeping:

  1. Collect and archive medical certificates monthly into the shared drive.
  2. Maintain all personnel files ensuring strict confidentiality of information.
  3. Maintain all personnel medical records & claims.
  4. Maintaining, and ensuring timely update of all Company records and Licenses.

Occupational Health (OH)

  1. Coordinate periodic OH checks by liaising with appointed clinics and relevant Line Managers.
  2. Confirm billing and manage tax invoice processes post-medical checks.

Others:

  1. Perform general administrative duties to support office operations.
  2. Complies with HSE Management System.
  3. Any other duties as assigned from time to time.
