PA to Founder & CEO of Female-led Boutique Financial Services Consultancy


The CEO and founder of Optionality Consulting seeks an energetic and efficient Personal Executive Assistant to coordinate and organize all day-to-day activities. 

The successful candidate will have experience in supporting and helping leaders be more productive, in both their personal and professional lives. For those interested, there is a path to learning the subject matter of the business and growing into other roles.

The job:                

  • Wide variety of professional responsibilities
  • Managing business travel
  • Maintaining an appointment calendar
  • Monitoring the client relationships database for actioning (as needed)
  • Overseeing professional communications on the telephone, via messaging services, and through email.
  • Assisting with routine client invoicing and follow up
  • Handling all organization and updating needs for books and records
  • Coordinating monthly payables and ensuring that HR records are maintained
  • Personal assistance
  • Reservations and travel booking
  • Errands and online shopping
  • Household management assistance, including meal planning, monitoring and booking events in Singapore.
  • Maintain a professional demeanor and appearance in all interactions
  • General office tasks including scanning and printing of documents, filing of paperwork, organization and tagging of photographs, basic bookkeeping activities such as preparing invoices and inputting expenses, note taking in meetings, and a wide range of communications-related tasks.

Useful but not required:

  • Adept researcher
  • Presentation preparation
  • Digital marketing experience

Requirements:

  • Strong command of English language; outstanding written and verbal skills
  • Excellent references
  • Bachelor’s degree
  • Experience working in a similar role
  • Exceptional organizational skills and dedication to responsibilities; prioritization and efficiency a MUST
  • Fast learner with the ability to easily grasp and understand new concepts
  • Strong common sense, very conscientious.
  • Strong flexibility as tasks and projects can require last minute changes and execution
  • Tech and computer proficiency in both Mac and Windows
  • Must be comfortable with children
  • Tactful and responsible with mature judgment and a high level of discretion
  • Supporting with backend research for articles to be written
  • Input into monthly accomplishments reporting
  • Polished, poised and professional in both mindset and manor; use of utmost discretion at all times
  • Unable to sponsor employment passes, work permits, etc.
