Admin Support (Part Time)


The Academic Affairs Department in ESSEC Asia Pacific Office manages all new and existing students from an array of programs ranging from Bachelor in Business Administration (BBA) to Masters in Business Administration (MBA), Executive MBA and our Specialised Master degree programs in Management, Finance, Data Science, Digital Marketing.  The department is instrumental in the customer journey and experience in ESSEC.  Every touchpoint of experience in terms of administrative support from our staff members in Academic Affairs makes a difference in the customers’ experience.

Job Description

Part-time Admin Support to Academic Affairs Department


Supporting the Admissions Activities in Academic Affairs Department

  • Specialised Masters – MSc MMD, ensure all supporting documents of Application files are in order in the shared folder.
  • Global BBA - Co-ordinate printing and sorting the applicant’s files for Program Director to evaluate.

        Student Contracts  

  • Check for Initial on each page;
  • Scanning of student contracts;
  • Prepare hard copies and send for registered mail
  • Collect & scan signed student contract

Interviews

  • Assist in sending reminders email to the participant one (1) day before the interview;
  • Co-ordinate and set up face to face/video interview room;
  • Follow up to send out thank you email to the participants after the interview.


General Admin support

  • Co-ordinate to print Alumni leaflet & Advisory Note
  • Prepare return envelope for student contract (labeling and folding)
  • Sort and organise applicant’s files
  • Assist with student’s personal files
  • Update passport and student pass details in each program manager’s student list
  • Student visa application
  • Assist in checking of supporting documents and online application (if required)

      

Supporting the Bachelor of Business Administration (BBA) Team

  • Attendance tracking of BBA classes
  • Follow-up on onboarding forms
  • Logistic assistance for games
  • Exam logistic, preparation of student list and etc
  • Induction logistic preparation
  • Semester Jury preparation
  • Archiving of exam papers
  • Printing of language exam papers

Number of hours

  • Commitment hour is 20 hours per week with 4 to 5 hours per weekday.
