Job Description

Administrative Assistant

 APCO Worldwide - a leading global communications and strategy consultancy - is seeking an Administrative Assistant in Singapore who will work under the supervision of the Managing Director, provide secretarial support to the Managing Director, Southeast Asia and interface with all levels of staff with the following primary responsibilities:

GENERAL ADMINISTRATION

  • Responsible for handling of incoming and outgoing calls. Making sure to demonstrate professional and polite responses
  • Greeting visitors and inform the related colleagues the arrival of visitors
  • In charge of the meeting rooms schedule and preparation
  • Ensure all the incoming / outgoing mail/couriers are signed and distributed
  • Make arrangements for visiting executives/colleagues
  • Responsible for hotel, air, and train ticket reservation as well as restaurant reservations
  • Prepare purchase of order form
  • Supervise cleaning lady to ensure a clean and neat working environment.
  • Order, record, store and distribute stationary and other office & pantry supplies
  • Build and maintenance admin filing system
  • Oversee facilities maintenance
  • Purchase employee birthday cakes, gifts, and food/drinks for quarterly happy hours and other company routine events/teambuilding activities
  • Business cards entry
  • Serve as part of the overall administrative support to the company and the project teams
  • Support IT-related matters such as mobile phone contracts and purchasing IT equipment when necessary
  • Handle ad-hoc projects as assigned by the Managing Director and Chief of Staff

SECRETARIAL SUPPORT TO MD

  • Coordinate travel arrangements and the driver
  • Type up documents, set up an efficient filing system
  • Handle ad-hoc projects as assigned by Managing Director or Chief of Staff

HR SUPPORT

  • Support on other human resources management tasks 

Requirements & qualifications:

Education: Associate degree or bachelor’s degree.

Experience: Minimum of 1-year relevant working or internship experience in an administrative capacity, previous consulting or hospitality experience preferably.

Core Skills:

  • Independent in handling general office administrative duties
  • Strong interpersonal & communication skills, high attention to detail
  • Ability to multi-task
  • Professional demeanor
  • Maintain confidentiality Self-motived, efficient, responsible, flexible and adaptable to different tasks at hand.
  • Operating knowledge of MS Word, Excel, PowerPoint and MS Outlook 

Languages: Good command of speaking and written English
